Squadron letterhead question

I'm redoing our squadron's letterhead (it was not in compliance with 10-1,) and it raised a question that it does not address, and I'm not sure as to the proper protocol.  Is the Address on the letterhead supposed to go to the Mailing Address, or the Physical Address?  They are not the same.

Use the mailing address! That way any correspondence goes to the Commander or designated recipient. By using the address of the meeting location can result in the loss or return to sender of the mail.

The address on the letterhead should contain the mailing address of the unit.

This may differ than the physical address of the unit's HQ.

That being said, I would recommend it NOT being the Squadron Commander's address.
Have the unit spring for the $35.00 it costs to get a PO Box.

That way your letterhead and correspondence won't change or be inaccurate every time there is a change of command.

A PO Box is the only way to go.

Your fee is incorrect. Here are typical fees fees for the two most commonly used sizes. They vary by ZIP code. I didn't see any as cheap as $35 for a one year rental.

Just in case you didn't know this, PO Boxes no longer belong to USPS. They administer them, but they belong to DHS now. The paperwork drill is about twice as big as it used to be.

The reason that I ask is that WY-066 is physically in Cheyenne Wyoming, but I (the commander) live in Torrington, which is about 84 miles northeast, which could cause confusion.

Not as much confusion as having both addresses on the letterhead, but some.

In cases like that, label them as Mailing: and Physical:.

Do you fly in? When I was Group Commander of a very large Group, personnel and mileage wise. I flew in to visit most Squadrons and personnel flew in for Group Staff meetings.

I'm the incoming CC at CO-147, your neighbor to the south in Fort Collins, CO.  We are gypsies; our meeting place has changed numerous times.  Since we use a PO Box our letterhead has remained unchanged through different meeting locations and commanders.  Although I have a mailbox key, staff routinely checks the mailbox and notifies me if anything requires my attention.

Nope. I'm not a Pilot, so I make the 1.3 hr drive usually at least once a week.
