Is there any quick way, short of SIMS, to generate an electronic 45 without manually filling every field?
Ask my ITO...he did it quick prior to our last SUI.

Out of curiosity, why not just use the Member Search Report tool on eServices? It has most of the pertinent information, just not some of the awards and the outside-CAP education block.

Member search is fine, but a 45 is still required to be in the file. I agree that this should be enough for an inspection, but as written today, it isn't.
PWK-GT's 45's mentioned above were likely generated with SIMs. I'm in the process of digitizing records and trying to put a spec together for
an all-digital personnel file. The ability to generate a good 45 without SIMS would be nice.
Right now I am in the process of generating electronic 45s for our entire Sqdn (Not really that big a mess as we are only talking about 25 people). Basically I am using the Member Search and then copying all relevant data onto the CAPF 45, and then going through the old paper files and scanning and entering other data. We are a very old squadron, and some member files are several inches thick. (In one members file I found a copy of orders sending (as a cadet) me to Summer encampment at Maxwell AFB in 1963).
Even with this I expect to have some holes to fill in order to get ready for our SUI.
At the end of the day my plan is to have everything on digits and nothing on paper.
Looks like it might be something that could be done with a 1-off programming project using something like Microsoft Access, CAPWATCH downloads, and PDF versions of the forms.
Too bad I can't program worth a darn. Any takers out there?

Ditto, and this >is< acceptable as long as you have a plan and adhere to the retention regs, etc. A standardized naming convention with a key should be part of your formal file plan.
Most likely you can dispose of the majority of the stuff in the older files, and if it isn't CAP related it probably shouldn't be in there. I have had CC's who encouraged their people to put anything remotely "military/aviation/community service/public service/where I had lunch related" which resulted in 4 inch thick folders for members without ES ratings who never got past LII. Anything not needed was returned to the member during the cleanout.

I had this working with Access 97, CAPTWATCH and a hand constructed Word template. The app was able to store those items on the 45 not on e-Services would update from CAPWATCH. Got a nice write up on a CI
Then CAPWATCH became a bunch of text files. I've not tested with later versions of Access but would think they would be OK
If someone is interested in the code I believe I have all of it. PM and I'll look.
Access will handle the text (CSV) files just as easily as it did the olde MDB files. There are just a couple of more steps to using them.
I did mine in FileMaker Pro.
It doesn't meet your requirements of being quick and non-manual, but having a searchable database comes in handy.

After looking over the 45, member search report and member reports in eservices I've decided to accept this as a challenge. Really it's just a geek thing. :D

What is needed is a CAPF45.

Those are some fields I set up, it allows you to put in decorations, and dates, ratings, FAA info, etc. I was using CAPF 45 as a template for what needs to be added.
As you can see it has a lot of the stuff (I couldn't show all of it cause it went off the screen. ::)
Basically you enter the stuff into the table, and then it prints out on the report. I will have to work on it, but that is my first [speedy] revision.

Is there any way to edit the fields on a CAPF45. Not the Data entry fields already provided. But someway to change printing fields and edit the currently locked fields. The Form is out of date and really doesn't suffice for my needs. The requirements require I use it, but I want to edit it so that I can create a worksheet to verify and correct the information.

Test and other controlled material shall not be locally reproduced unless specifically authorized by the controlled material's OPR at NHQ.

I'm still using the CAPF45 as intended in its original form. I want to create a Worksheet that I can print with printing four sheets of paperwork. My plan is to edit and either remove fields or reduce the number of data entry fields so I can use it as a checklist so that it makes verification of records easier for me. I doubt the NHQ Forms Gestapo will be out to get me.
