Personnel Actions Log

In my CAC recently, we discussed the importance of documenting everthing to CYA.
One of the things mentioned was a log kept by the Personnel Officer to record Actions such as transfers, applications by new members, promotions, testing etc...

Does anyone know of a log such as this being used currently by a squadron.
Can you provide a template I could borrow/steal/mutilate?

Your help in the matter is appriciated. ( I just spent 30 minutes trying and failing to create my own on spreadsheet)

Are you talking about a running log pertaining actions at squadron level?
01 JAN 07   SM Jones promoted to 2LT
10 FEB 07   Application for prospective member sent to X
etc

I use a simple Excel spreadsheet to track action-plan items for my day job.

On an individual basis, the data you referenced is maintained on CAPF-11, CAPF-45 and CAPF-45b

Most Action Logs will also assign an Action # to each personnel action you approve/process.  For example, your first action in 2008 might be 08-001.  A lot of the personnel related CAP forms even have a spot for Action #'s in the approval block.

Once upon a time, I had a book made up and bound for my old squadron's action records.  I'll see tonight when I get home if I can find the file and post a page sample for you.

Short Field

We keep separate action logs for Promotion Actions and Personnel Actions, each with separate action numbers.  Even if the action is accomplished on e-Services, we document it.   We log but do not assign a control number to all outgoing e-mails, faxes, and letters.

I'd say get with your commader, and create a list of PA numbers to be used. You can always make your own sheet for your unit's reference. This is a good idea no matter how you look at it.

There is a sample log on page 18 of CAP Pamphlet 200 the Personnel Specialty Track Study Guide.  The sample also shows the use of the suggested logging system.  I just copied this, and set it up in Excel.

I was an admin/personnel-type at the Group-level for about three years, and came up with a tabbed excel workbook that works pretty well: Like Short Field's, ours had a page strictly for awards, one for promos, one for transfers & misc actions.  We number them by unit, year and action number.  Let's say your charter number is 150, and this is the first promotion of the fiscal year,  it would be 08-150-P-001. The first award would be 08-150-A-001.

We also scan PA Auth's and correspondence, and are working towards scanning everyone's personnel file records into .pdf's, so that when the IG folks come down for SUI's we'll simply hand them a CD.

You might not need something that intricate for a small squadron, but it worked well for Groups and "Supersquadrons" with alot of activity.
