Can anyone give me an idea  (samples possibly) on writing policy letters for safety related issues?

Be clear, concise and straight forward.

You can look at the tongue and quill for formats.

Also recommended that, along with the office issuing the policy letter, in your case, Safety, you get the commander to co-sign, showing that they are on board with it.

Read CAPR 5-4. Policy letters have been replaced by Operating Instructions.
